THE GODINTON HOUSE PRESERVATION TRUST 

PRIVACY POLICY 

 

This Policy explains why we collect personal information about people who visit our website, how we use that information, when and to whom we may disclose it and how we keep it secure.

Who we are:-

Both The Godinton House Preservation Trust and The Godinton Charitable Trust are private charities, the aims of which are to:  Open the house, gardens and parkland to the public and to provide school visits, educational courses and workshops, and to undertake a programme of repair and conservation to the historic house and restoration of parkland.

What information might we collect from you and how?

The personal information that we collect might include your name, address, email address and IP address.  If you make a payment by telephone, we will also require your credit card details (however your payment is processed immediately after we collect that data and your credit card details are securely destroyed).

How do we use information that we collect from you?

We may use your information to:-

  • Process payments for admission, courses and events

  • Carry out our obligations arising from any contracts entered into by you and us

  • Send you communications which you have requested or that may be of interest to you, for example our monthly newsletter and invitations to events

  • Process a grant or a job application 

We are required to retain some types of information to fulfil our legal obligations, but will only hold your personal information on our systems (whether manually held or electronically held) for as long as is necessary for the relevant activity.  We never share your information with third parties.

Your choices

It is your choice whether or not to receive information from us. If you wish to receive information from us you can select this option by ticking the relevant box on any communications from us. We will not contact you by email, phone or text message unless you have given your prior consent. You can change your mind at any time about receiving communications from us and can contact us by email, telephone or by post (as above).

Updating your information

It is important that the data you have permitted us to hold about you is correct.  If you change your email address, telephone number or mailing address please notify us by email, telephone or by post.  

Right of Access

You have the right to ask for a copy of any information we hold about you (subject to some exceptions) and we are legally required to respond to any such request within 30 calendar days.

Security 

We are legally required to ensure that your personal information is treated securely.  No sensitive information such as credit or debit card details is retained by us (see payment card security below).

Non-sensitive details (for example your email address) are transmitted normally over the internet and as such can never be guaranteed to be 100% secure.  When your information is received, we strive to ensure the security of that information on our systems by using individual usernames and passwords on all computers within our IT systems. 

The Trust does not sell or share your personal information for other organisations to use.

Payment card security

The Trust is PCI-DSS (Payment Card Industry Data Security Standard) compliant. This is the stringent international standard for safe card payment processes. The Trust ensures its IT systems do not directly collect or store payment card information, and uses a payment gateway (Worldpay) to take card payments through the online ticketing system embedded into the Trust’s website. This means that when you input card data, you are communicating directly with Worldpay, who in turn pass your payment onto the Trust.

CCTV

There is Closed Circuit Television (CCTV) at the entrance and exit roads to the estate, at the Ticket Office and around the mansion house. You will be recorded when you visit.

CCTV is used to provide security and protect our staff, volunteers and visitors. CCTV will only be viewed when necessary (for example, to detect or prevent crime) and footage is stored for a set period of time, after which it is recorded over. The Trust complies with the Information Commissioner’s Office CCTV Code of Practice and there are notices to inform you that CCTV is in operation. 

Use of “cookies” 

Cookies are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you revisit.  Statistical data about your browsing patterns is collected, but cookies do not identify you as an individual.  Cookies enable delivery of a more personalised service.  To turn off cookies you can set your browser preferences, although turning cookies off may result in reduced functionality when accessing our website.

Information collected and its use

The information we collect via the Website may include:

  4. Your IP Address, this is a string of numbers unique to your computer that is recorded by our web server when you request any page or component on the Website. This information is used to monitor your usage of the Website.
  5. Information about your device such as your web browser, screen resolution and operating system. This information is used to ensure we continue to support the different devices used by our customers.
  6. Data recorded by the Website which allows us to recognise you and your preferred settings, this saves you from re-entering information on return visits to the site. Such data is recorded locally on your computer through the use of cookies. Most browsers can be programmed to reject, or warn you before downloading cookies, information regarding this may be found in your browsers 'help' facility.

We do not store any credit card details.

What we do with your information

Any personal information we collect from this website will be used in accordance with the Data Protection Act 1998 and other applicable laws. The details we collect will be used:

  1. To process your order, to provide after sales service (we may pass your details to another organisation to supply/deliver products or services you have purchased and/or to provide after-sales service);
  2. In certain cases we may use your email address to send you information on our other products and services. In such a case you will be offered the option to opt in/out before completing your purchase.

We may need to pass the information we collect to other companies for administrative purposes. We may use third parties to carry out certain activities, such as processing and sorting data, monitoring how customers use the Website and issuing our e-mails for us. Third parties will not be allowed to use your personal information for their own purposes.
